Managing Operators: Adding, Importing, Editing, and Disabling Entries in iControl

Adding a new operator

To add a new operator to iControl:

  1. In the Operators section of the Master Data Editor, click the Add button.

  2. Enter the operator's name in the Name field.

    In the Login field, enter a unique personal identification number (PIN) for the operator. The operator will use this to log in.

    Each Login must be a unique numerical code; no letters or other characters are allowed in the Login.

    Click Commit to add the operator to iControl.

Importing operators in bulk

You can import operators in bulk to iControl with a CSV file. Each entry in the CSV file must follow this format:

"<Operator Name>", <Login>

The operator's name must be enclosed in quotation marks, and a comma must separate the operator's name and their login. The operator's name can be entered in any format (such as <First Name> <Last Name> or <Last Name>, <First Name>) as long as it is enclosed in quotation marks. Also, each Login must be a unique numerical code; no letters or other characters are allowed in the Login.

For example, each of the following entries are acceptable:

  • "John Smith", 1234

  • "Smith, John", 0001

  • "Smith John", 1010

For consistency, every operator's name must be entered in the same format, whichever format this is.

 

To import operators to iControl in bulk:

  1. Enter each operator's name and login in a CSV spreadsheet and save this to your device.

  2. In iControl, click the Tools icon in the top-right corner, then select Master Data Editor.

  3. In the Master Data Editor, select the Operators tab, then click Import.

  4. Select the CSV file you prepared earlier, then click the Commit button in the bottom-right corner.

An error message will display if there are any errors in the CSV file; if this occurs, review the CSV file for issues (such as no quotation marks for the operator name, no login, and so on) and import the file again.

 

Resolving duplicated entries

Each operator's Name and Login must be unique; if an operator's Name or Login is already in use, a notification appears.

To resolve a duplication issue:

  1. Click the Possible duplicates link that appears in the Name or Login field.

  2. The existing operator's Name and/or Login will display in the Resolve operator conflicts window that opens; to keep the existing operator entry's details, click their existing entry, then click Restore.

    This will delete the new operator entry from iControl; you will need to re-enter the new operator's details to add them to iControl.

    Alternatively, to keep the new operator entry's details, click Cancel.

If you select Cancel, you must disable the existing operator's entry in iControl before you can add the new entry. See the Enabling and disabling operator entries section below for more information.

 

Deleting operator entries

You can only delete an operator entry if it has not been committed to the iControl database. If an operator entry has been committed, it cannot be deleted, only disabled. See the Enabling and disabling operator entries section below for more information.

To delete an operator's entry:

  1. When you are adding a new operator's entry, before you click Commit, click Del.

Editing operator details

To edit an existing operator's details:

  1. Select an operator, then edit their Name or Login details as needed.

  2. Click Commit to save your changes, or click Refresh to discard.

Enabling and disabling operator entries

After an entry has been committed to the database it cannot be deleted, only disabled. An entry cannot be deleted as it might be referenced by other data, and deleting an entry can cause database issues.

You can disable and enable entries at any time in iControl. This can be used to avoid duplicating entries, or to remove operators who no longer work on a given site.

To disable an operator entry:

  1. Select an operator entry, then click Disable and click Commit to confirm the change.

    The disabled entry will be removed from the list, but it will still be accessible in iControl.

To enable a disabled entry:

  1. Select the Show disabled items check box to view all disabled operator entries.

  2. Select a disabled operator entry, then click Enable and click Commit to confirm the change.
